10 Tips to Help When Moving Offices

Moving to a new office can be just as stressful as moving to a new home! You have big bulky furniture paper work and IT to move too. Follow these ten tips to make the process go as smoothly as possible.

  1. Start planning early
Start the planning of your move early. You need to delegate who does what. You will also have to have a plan in place of where things will go into the new office space.
  2. Appoint someone to organise the move
Even though you will be delegating and trying to sort your own desk spaces out etc. Appointing someone to oversee the whole move is a great idea. Pick someone who is great at organising and this will give all the people one single person to report to.
  3. Do research to find the best moving company
We always recommend researching and getting quotes from at least three professionals before booking your move, but because an office move can be tricky. If you have the budget for it, plan to hire a full service moving company—they’ll do all the packing for you, as well as the loading, unloading, and unpacking. Ask around for recommendations of moving companies that have experience with office relocations, since you’ll want to make sure you only hire a company with a proven track record of success in this area. Your moving company you hire for your commercial relocation should be licensed and insured. Such as The Man Van London.
  4. Assign everyone the task of packing up their own desk
A moving company can take care of the big bulky items but the smaller stuff can be packed up by the workers. Everyone should be responsible for the their own office space and desks. Do not make this a last minute thing so give them plenty of time to do this.
  5. Don’t forget I.T.
One of the biggest complications within moving to a new office space is disconnecting and reconnecting all of your tech. As soon as you know the date of your move, have your own I.T. department make a plan for transferring all of your office’s technical equipment. This includes computers, printers and phones, as well as your internet plans.
  6. Know the building rules
Unless your company owns the building you are moving out of or in to, you will need to get a full breakdown of all building rules around relocating. You may only be allowed to move within certain times so check this beforehand.
  7. Address change
It’s better to start updating documents with your new address earlier rather than later, so place your orders for new business cards, letterhead, envelopes, return labels, etc. right when you know your new address. Update your clients too.
  8. Label your boxes
Labeling your boxes is important in all moves, but especially when you’re moving to a new office. Keeping things organised will save you time in the long run.
  9. Make sure everything will fit in. Make sure you take measurements before you do your move to the new office. Always be prepared. You can avoid plenty of mess and clutter during the first few weeks following your office move by looking at storage options to keep things that aren’t essential right now. This could include conference tables, some cabinets or decor and some types of furniture. As long as you can fit everything functional inside, you can add less-vital items as you go along
  10. Try to move some non-essentials on your own first
Move some of the smaller stuff yourself first. It can make the whole moving process easier if you can do this.
